Administrative Assistant

Smith Schafer, a multi-office accounting & consulting firm, is seeking a full-time, dedicated Administrative Assistant to join our Rochester, Minn. team. The successful candidate in this position will divide their time between client interaction, various projects and assignments and supporting the professional staff and Principals.                                                                               

Key Responsibilities May Include:

  • Provide general administrative support to Principals and professional staff to fulfill the day to day operating needs of the Firm.
  • Preparation of Firm and client documents such as billings, reports, letters and spreadsheets.
  • Type, proofread and format audit reports, financial statements and assemble tax returns and other important documents.
  • Back up to receptionist telephone calls and direct caller to the appropriate employee.
  • Interact professionally with internal and external clients and prospects; handle inquiries effectively, set up appointments as needed in an organized and courteous manner.
  • Effectively and accurately manage outlook calendars on a daily basis including coordinating meetings and proactively addressing any conflicts that arise.
  • Various administrative projects and functions throughout the Firm.

Requirements:

  • High school diploma or equivalent with two or more years of prior support experience required; Associate degree a plus and may be considered in lieu of experience.
  • Advanced knowledge in MS Office (Word, Excel, Outlook and Adobe Acrobat).
  • Experience with office machines including but not limited to: facsimile, high speed copier/printer/scanner and multi-line phone.
  • Ability to meet deadlines in a fast-paced environment.
  • High level of organization, focus, exceptional attention to detail and strong follow-up skills.
  • Superior communication and proofreading skills.
  • Customer-service oriented, shown by the following attributes:  proactive, observant, knowledgeable and reliable.
  • Professional demeanor and appearance necessary at all times.

Part-time Administrative Assistant

Smith, Schafer and Associates, Ltd., a multi-office accounting & consulting firm, is seeking a part-time Administrative Assistant to join our Red Wing, Minn. team. The successful candidate in this position will be the first point of contact and will provide administrative support in the areas of answering phones, greeting clients and providing administrative support to staff and Principals. Note: Selected candidate will be required to work one day/week from May through December in addition to covering days off taken by the Office Manager.  Position will be full-time M-F from January – April.

Key Responsibilities May Include:
